General Terms and Conditions (GTC)

  1. Application

    The present GTC apply to sales operations made between the Ailefroide Chalet Hotel and individual customers.

  2. Legal Capacity

    All customers recognise their capacity to agree to a contract, that is, to be of legal age and not to be under the tutelage of a guardian.

  3. Prices

    Prices are given in Euros. VAT is always included. The prices given only include the services explicitly mentioned in the reservation. Additional services provided by the hotel during the stay will be added at billing to the prices mentioned in the reservation, including, if applicable, the tourist tax. The prices mentioned on the site are liable to modification without prior notice, and only the price given in the reservation confirmation is contractual.

  4.  Reservation conditions

    After making your reservation request by post or by e-mail, an option is taken on the room and a quotation will be sent to you. This option is valid for 15 days, after which the rooms will be made available to other guests.

    Your request only becomes effective once you send your confirmation to us, completed and signed, either by post or by e-mail, by returning the reservation coupon, as well as the deposit payment.

    The payment for the rest of the stay will be made to the hotel at check out.

    Means of payment accepted: Cheque, bankcard, MasterCard, Visa, American Express, Chèque Vacances.

  5. Payment procedure / Deposit

    For stays of over three nights: all reservations must be accompanied by a payment equal to 25% of the total amount of the stay.

    For stays less than or equal to three nights: you will be asked to pay 50% of the total amount of the stay.

    You can choose to pay:
    – By cheque (made out to Chalet Hôtel d’Ailefroide)
    – By bank transfer: in this case our bank account details will be included with your quotation
    – By bankcard, but only from 15th May of each year
    – Or online (pending)

    The deposit is paid after acknowledgement and acceptance of all the clauses of the present contract, particularly the reservation conditions and the cancellation fees.

  6. Changing a reservation

    Any request to modify a reservation must be made as early as possible, and at the latest 48 hours before your stay, subject to the refusal of the Hotel. The modification of a reservation only becomes definitive on reception of a confirmation by e-mail from the hotel.

    Requests for modification may lead, when applicable, to the application of cancellation conditions.

    In the event of force majeure or as a result of exceptional circumstances, the hotel reserves the right to accommodate customers in a hotel of a similar category nearby, without any change in pricing.

  7. Cancellation conditions

    – Cancellation before 90 days: reimbursement of deposit.
    – From 90 days to 45 days: 50% of the original reservation fee.
    – From 45 days to 30 days: 70% of the original reservation fee.
    – From 30 days to no-show: 100% of the reservation fee.

    Failure to arrive or to cancel will result in the hotel retaining the total amount for the stay, without the customer being able to claim any reimbursement. For a stay of at least two nights, if the customer fails to arrive at the hotel on the first day, the hotel will no longer be obliged to keep the room available for the rest of the stay.

    In the event of early departure, the entire amount of the stay is due, except in the case of force majeure. Written proof will be required.

  8. Force majeure

    By force majeure is meant any event outside the control of the contracting parties, which can neither be anticipated nor overcome, and which prevents either the client or the hotel from carrying out all or part of the obligations set out in the contract. It is explicitly agreed that force majeure suspends, for both parties, the execution of their reciprocal obligations and that each party will bear the resulting costs.

    Customers will, in particular, bear any additional costs needed for the trip to continue after a case of force majeure.

  9. Special offers and reductions

    Special offers and reductions are only valid on the website, in the limits of availability of rooms for each special offer. These offers cannot be used in conjunction with other promotional offers. All our prices are given in Euros. They are given for information purposes and are liable to modification without prior notice. They do not include tourist tax.

    It is explicitly stated here that for special offers, the hotel debits the total amount for the stay at reservation.

  10. Responsability

    The hotel disclaims all responsibility in the event of theft, loss or deterioration of customers’ belongings during their stay. Customers will be held responsible for any damage, deterioration or act of vandalism that may occur as a result of their occupation of the premises and/or caused by the participants and/or staff of whom they are in charge, for furnishings, decoration and property. As a result, the hotel can ask customers to leave the establishment without any indemnity or any reimbursement for the stay in progress, and to reimburse the damage caused by these actions.

    The hotel cannot be held responsible in the event of damage or theft of the vehicles parked outside the establishment.

    Animals are accepted under certain conditions and after payment of a supplement. In the event of deterioration or damage caused, the animal’s owner will be held directly liable.

  11. Data Protection

    In application of the law L.78-17 of 6 January 1978, customers are informed that information communicated of a nominative nature will be the object of data processing, unless they express explicit opposition. Customers have, at any moment, a right to access, rectify or delete information.

    The information requested at your reservation is indispensable to process your request. This information is destined only for the Ailefroide Chalet Hotel in Pelvoux concerned by the reservation request.

  12. Complaints

    All complaints must be made to the Ailefroide Chalet Hotel within 30 days of the date of your stay.

  13. Applicable law

    Any disagreement, complaint or litigation relating to the procedure of reservation of a stay or a hotel room are subject to French law. The present General Terms and Conditions are subject to French law. This is the case both for substantive regulations and for procedural regulations. Legal disputes will be subject exclusively to the competence of French jurisdictions.
